Privacy Policy

This policy explains what Usarion (“we”, “us”) collects when you visit usarion.com or get in touch, what we do with it, and what you can ask us to do about it. We keep it short because we collect very little.

Last updatedOctober 6, 2026

1. What we collect

When you use the contact form: your name and email address, and, if you add them, your WhatsApp number, the service you are interested in, a budget range and the details of your project.

When you book a call: booking runs on Cal.com. You give your details to Cal.com, and we receive the booking: your name, email address, phone number if you give one, and anything you write in it.

When you email us: your email address and whatever you choose to send.

When we talk on a call: we may record it with Fathom, which joins the call as a visible participant. It gives us a recording, a transcript, a summary and action items. Tell us at the start if you would rather not be recorded, and we will not.

When you visit any page: our hosting and network providers handle your IP address and basic browser details, because that is how a web page reaches you. Our server may keep standard technical logs (IP address, time, page requested) for security and troubleshooting, for up to 30 days.

If you say yes in the cookie banner, we use Google Analytics and Microsoft Clarity to see how the site is used: which pages are visited, how people scroll and click, and roughly where visitors come from. Clarity hides what you type in forms. We do not use advertising trackers, and nothing runs if you say no. You can change your answer at any time from “Cookie settings” at the foot of every page.

2. What we use it for

To reply to you, to understand what you need, to scope and quote the work, and, if you become a client, to run the project. We keep these details, and notes from our calls, in our own customer records (CRM) so the team can see the whole conversation. That is all.

We do not sell your information, share it for anyone’s marketing, or add you to a mailing list. We have no newsletter.

If you are in the EU or UK: we rely on our legitimate interest in answering an enquiry you sent us, and on taking the steps you asked for before a contract.

3. Who else handles it

Only the services we need to run the site and reply to you:

  • Contabo (Germany) hosts the server and database the site runs on, our customer records (CRM) and our own email server.
  • Cloudflare runs the network in front of the site, which keeps it fast and protects it from attacks.
  • Cal.com runs our booking calendar.
  • Google (Analytics) and Microsoft (Clarity) measure how the site is used, only if you say yes.
  • Fathom records and transcribes the calls we record.
  • Google (Gmail) delivers enquiry notifications to our team’s inbox.

Each handles your information only to provide its service, under its own privacy policy.

4. Where it is kept

The site, its database and our customer records are on a server in Germany. Call recordings are also kept by Fathom, a US service. Our team works from Bangladesh and reaches that information from there, only to do the things in section 2.

5. How long we keep it

Enquiries, bookings and call notes are kept for five years from our last contact with you, then deleted. If you become a client, we keep what the project and our accounting need, for as long as they need it. You can ask us to delete any of it sooner at any time.

6. Cookies

The site sets no cookies of its own until you say yes in the cookie banner. If you do, Google Analytics and Microsoft Clarity set theirs to tell visits apart, kept for up to 13 months, and our booking calendar loads ahead of time. The booking calendar is Cal.com’s, and it sets its own cookie when the calendar loads near the bottom of a page. Your answer is kept in your browser for 12 months. The only other cookies are for our own team signing in to edit the site.

7. Your rights

You can ask us for a copy of what we hold about you, ask us to correct it or delete it, or object to how we use it. Email hello@usarion.com and we will reply within 30 days. If you are in the EU or UK, you can also complain to your local data protection authority.

8. Keeping it safe

The site is served over an encrypted connection, and only our team can reach the enquiries it stores.

9. Children

The site is for businesses. It is not meant for anyone under 16, and we do not knowingly collect their information.

10. Changes, and how to reach us

We may update this policy. The date at the top tells you when we last did.
