Every lesson set up once, every student remembered

About the project
Zaic Education is a web app for tutors: one workspace to schedule lessons, look after students and get paid.
A tutor who teaches for themselves runs a small business alone. They plan the week, price each lesson, decide who it is for and where it happens, keep track of who came and how each student is doing, and make sure every lesson is paid for. Zaic brings all of that into one place.
We designed the tutor’s side of the product: the dashboard, the lesson schedule, setting up a lesson, the student list and each student’s record with attendance and notes, and inviting new students. Underneath it sits a design system of its own, from colour scales and type to the sidebar and icons.

The challenge
One tutor, the whole business, every week.
A lesson is more than a subject and a time. It has a time zone, a price in each currency it is sold in, a group size, perhaps a list of the only students allowed in, the packages that can pay for it, and a place where it happens: on the platform, in person or on a video call. Get one of those wrong and a student turns up at the wrong hour, or a lesson is taught and never paid for.
And a student is not one lesson but months of them, booked, attended, rescheduled or cancelled, with notes after each one, homework missed and progress made. A tutor needs that history to hand when the lesson starts, not spread across a calendar, a notebook and a chat.

The product
Plan, teach, follow up, get paid
One workspace for the tutor’s week: lessons on one side, students on the other, and the money in between.
The week runs down the left, each day with its number of lessons and whether it is booked or still has room. Pick a day and its lessons fill the middle; pick a lesson and its details open on the right: date, duration, start and end, the students attending, the lesson it is connected to, the package it is priced under and how it will be taught. An empty slot offers to add a lesson or invite a student right where it sits.
One page holds every decision: the date, time zone, start and end, a price in each currency, the subjects, and the group size, from two or three students up to thirty, or a custom number. A lesson can be kept for chosen students only, opened to students on premium packages, and taught on Zaic’s own platform, in person, on Google Meet or through another tool.
The student list shows each student’s next lesson and whether it is paid, with search, filters and an invite button. A student’s page opens on who they are, their lessons in total and with you, their average rating and their package with the lessons left. Three tabs follow: an overview of lessons by subject and by month, completed, rescheduled or cancelled, with feedback and achievements; attendance, with when they joined and left and whether they were on time, late or absent; and notes, each with a title, the lesson it belongs to, a description and files.
The dashboard opens on the month: active students, booked lessons, and lesson revenue split by subject, then the lessons coming up, notifications such as a payout reaching Stripe, the latest ratings and reviews, and every payment with who paid, for what and when. The sidebar holds the rest of the business: the tutor’s public profile, what students say, chat, incoming and archived lessons, the subscription, payout methods and payouts.
The idea
Decide the lesson once
Everything that changes how a lesson runs is set in one place when it is created: when, for how much, for whom and where. After that the schedule can show all of it at a glance, from the students attending to the package and the way it will be taught.
Day, then lesson, then detail
The schedule reads left to right: pick a day, then a lesson, then see everything about it, without leaving the page. Days are marked booked or available before you open them, so a tutor sees where the week still has room.
A student’s history to hand
Before a lesson a tutor needs to know who is coming and how they are doing. Each student’s lessons, attendance, notes and feedback sit a tab apart, with achievements such as Perfect Attendance and Top Performer to mark the progress made.
One system, one accent
We built the screens on a design system of their own: colour scales for the brand, neutrals and the dark theme, one typeface, 29 icons, and a sidebar that folds down to icons. A single violet marks what can be acted on, so the dark screens stay quiet everywhere else.

Impact
One workspace for a tutor’s week
We designed Zaic Education’s tutor workspace from the dashboard to each student’s notes: eleven desktop screens covering the schedule, lesson setup, the student list, student records with attendance and notes, and invitations, on a design system of colour scales, type, icons and components made for the product.
